Wiley is seeking a E-Billing Coordinator to join its Accounting and Finance. Department.  The E-Billing Coordinator works with the E-Billing Specialist in order to ensure the timely and successful electronic transmission of all invoices, maintaining contact with the billing attorneys and their secretaries regarding the status of invoices and rate increases, and performing other accounting duties according to the established policies and procedures.

• Prepare electronic invoices according to the client’s outside counsel guidelines and provide quality control checks
• Transmit invoices electronically and monitor invoice statuses
• Communicate with billing attorneys on rejections and adjustments and resubmit adjusted or rejected invoices
• Update billing rates and new timekeepers
• Input matter budgets and obtain matter id’s from the clients needed to e-bill invoices
• Update e-billing data, such as budgets, rates, timekeepers and disbursement mapping
• Ensure compliance with all e-billing guidelines
• Work with Collections to ensure proactive follow-up on aged invoices submitted electronically
• Assist with setting up clients migrating to e-billing
• Assist with setting up the firm on new e-billing vendor sites as needed
• Research and respond to inquiries regarding E-Billing issues and problems
• Prepare and provide all firm accruals
• Act as back-up for entering new clients and matters (new business intake) into the Accounting System
• Assists with special projects as needed

• Position currently operates remotely. A high-speed internet connection is required to connect to our systems. At an undetermined point in the future, we may once again be required to work in a professional office environment
• Position requires that the employee have the ability to multi-task in a fast-paced work environment

• This position is primarily a sedentary position. However, some duties and responsibilities may require the applicant to lift files, open filing cabinets, bend or stand, reach with arms and hands, climb or balance, occasionally move about to access office equipment, file cabinets, etc.
• May require individual to carry or lift items weighing up to 10 pounds

• The ability to communicate professionally and effectively, both in oral and written form
• The ability to multi-task, prioritize/coordinate deadlines and track progress of tasks
• Ability to organize work flow and use time efficiently
• Ability to demonstrate attention to detail and accuracy
• Must maintain confidentiality of work related information and materials
• Must establish and maintain effective working relationships in or out of a team environment
• Ability to provide responsive and efficient administrative support
• Strong leadership and motivational skills
• Resourceful problem solving and ability to create and implement effective procedures
• Demonstrated proficiency with MS Office Suite and Outlook
• Ability to anticipate work needs and follow through with minimum direction, follow up on own initiative
• Familiar with industry standard billing procedures and policies
• Utilizes computerized billing and receivable applications to perform duties and responsibilities
• Operates office equipment including personal computer, copiers, and 10-key calculator
• Understands and adopts the organizational structure
• Possesses the attitude of collaboration and sharing
• Willingness to learn and adopt new methodologies
• Flexibility to work overtime on an as-needed basis

• College level accounting classes or Accounting Degree
• Accounting experience preferred
