Under the general direction of assigned attorney(s) and according to established Firm policies and procedures, this position is responsible for supporting the delivery of quality legal services to clients by providing specialized administrative and secretarial assistance to assigned attorneys pertaining to all aspects of litigation and transactional support. Assignment involves multi-tasking complex document production with heavy administrative functions, and client contact requiring a high degree of executive secretarial and technical skills. This position typically supports four to five attorneys as a primary assignment and also provides back-up secretarial assistance to other attorneys as requested. Maintains professionalism and strict confidentiality in all client and Firm matters.


On any given day, you will be working with firm leadership, partners, and business colleagues on a variety of requests and projects. You will:

  • Support approximately five attorneys in the Washington, DC office.
  • Generate, prepare, and organize documentation and forms requisite to the litigation practice area, such as briefs, subpoenas, motions, notices, orders, interrogatories, tables of authority, extensions of time, etc.
  • File legal documents in federal and state courts, including e-filing in all courts and agencies; prepare documents for service of process; prepare case “shell” documents for use by attorneys.
  • Maintain knowledge of electronic court filing procedures. Ensure all pertinent dates are docketed and index all pleadings. Date stamp incoming mail, pleadings, deposition notices, etc. ensuring documentation with deadlines are docketed and calendared.
  • Assist with trial preparation, depositions, and other litigation related responsibilities.
  • Create, edit, and compile large, complex, heavily formatted documents as well as prepare correspondence, memoranda, and other legal documents from draft or dictated text utilizing Microsoft Word.
  • Assist in the organization and preparation of closing binders, including maintenance of electronic file rooms for access by third parties.
  • Proofread documents and check for appropriate formatting, spelling and grammar.
  • Enter attorney’s time utilizing the Firm’s time entry software on a daily basis.
  • Maintain excellent public relations with clients.
  • Receive, sort, and distribute incoming mail. Process outgoing mail to assure timely delivery. File mail in client/case files, as necessary.
  • Open new client matters and request conflict of interest checks. Generate new files and maintain client and general files assuring that filing is kept current. Prepare files to be closed utilizing proper records storage procedures. Conduct periodic review of inactive files for possible storage of files.
  • Maintain up to date listing of client/matter names and numbers for each attorney. Make travel arrangements, prepare itineraries, and compile documents for travel related meetings.
  • Coordinate and follow through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services).
  • Maintain knowledge of Firm operating procedures, departments, and support areas.
  • Provide overflow and absence coverage assistance as well as secretarial support for Secretarial Team Members’ attorneys.
  • If applicable, prepare expense reports for each attorney using Chrome River and submit to accounting for processing. Prepare and keep current desk instructions with respect to each assigned attorney.


  • A minimum of 5 years of legal secretarial experience. Prior experience in the Litigation practice area of law with applicable knowledge of court filings is a plus.
  • Excellent troubleshooting, problem resolution, and follow through skills in order to oversee and complete assignments/tasks from inception to completion.
  • Organizational skills including record keeping, data collection, and system information.
  • Familiarity with Carpe Diem, Elite, iManage, Chrome River, Forte, Workshare Compare and similar technology.
  • Strong proofreading skills, attention to detail and solid grammar/spelling skills.
  • High degree of proficiency with Microsoft programs (Word, Outlook, Excel)
  • Legal citation and legal terminology expertise.
  • Flexibility to work overtime occasionally.
  • Good attendance and punctuality.
